Guidance on using Canvas Office 365 integration including Teams for collaboration

Canvas and Office 365 integration 

Canvas has been integrated with Office 365 to make collaborating with other Students and Academics even simpler; continue your teaching and learning activities and utilise the various Office 365 integrations as we introduce them into Canvas. To keep this uncomplicated and easy to use we wont be setting up individual Teams groups and channels for your modules.  

There are 3 key Canvas integrations with Office 365: 

1. Assignment submissions using OneDrive 

Canvas has been integrated into Office 365 OneDrive, to allow students to create and store assignments/assessment as they work on them and then easily submit into Canvas. Note: please ignore the Assignments” button in Teams, continue to submit assignments via Canvas.

2. Group Video Calls Online Lectures using Teams 

Canvas has been integrated with Office 365 Teams to allow students to easily create online Teams meetings to work together on group tasks and have discussions. Academics can also use Teams to create online Teams meetings to deliver online lectures. These can be created in various places within Canvas like Announcements, Pages and Groups sections.

We are aware that Microsoft are introducing Breakout Rooms in the near future and we are currently working to see how we can integrate this into Canvas. More information as soon as it is available. 

 3. Group document collaboration using OneDrive 

Canvas has been integrated with Office 365 to allow students and academic staff to easily create and collaborate on documents, like a report using Microsoft Word or a group presentation using Microsoft PowerPoint. Using the Collaboration tool in Canvas, simply create a new document and invite other Students or Academics who are on your module to be able to collaborate in real-timethe documents are then stored in OneDrive. Note: the document will be stored in the OneDrive of the person who creates the document initially.

Having 1:1 instant messaging and video call using Teams 

If you would like to simply have an instant messaging conversation or video call with another student on a 1:1 basis you can use Teams directly to start an instant message chat or video callYou can also use the Calendar app within Teams to schedule a video/voice call with another student for a later time.

Using Teams FAQ 

  • How do I use Teams? 
    • You can use Teams on most devices, this includes, PC, Mac, ChromeBooks, Phones and Tablets like iPhones and iPads. We recommend you download and install the Teams App to ensure you get the best possible experience, however you can just use a Web Browser on your laptop.  
    • You will need to discuss with your Academic on how they plan to use Teams for online lectures; you may get an email with a join link or the join link may be posted in Canvas. Once you have the join link, simply click the join link and this should either open the Teams app (if you have this installed) or open a Web Browser to join (you will be asked to sign-in using your university UserID and password – e.g. bg0abc@student.sunderland.ac.uk 
    • Please note that not all features of Teams will be available to you, for more information about Teams and various functionalityhttps://www.microsoft.com/en-gb/microsoft-365/microsoft-teams/group-chat-software  
  • Do I need a webcam? 
    • You do not need a webcam or microphone to simply join a Teams meeting, for example to watch a lecture; however if you would like to engage in the Teams meeting by asking questions then you will need to make sure your device does have a microphone; most devices have a built-in microphone or you can plug-in headphonesIf you wish others on the meeting to see you, then you will need to have a webcam too. 
  • How do I sign-in to Teams?  
  • Is Office 365/Teams free? 
    • Whilst you are a Student with us you will receive a free Office 365 account and you will not be charged. Once you leave the University we will remove this account so its important that you remember to take any important documents to a personal storage area.
