How do I reset my voicemail PIN?

  • Log in to the Outlook Web App (outlook.sunderland.ac.uk)
  • Select Options, then See All Options from the right hand side of the screen
  • Select Phone from the left hand side of the screen
  • Select Reset my voicemail PIN...
  • Click OK on the pop up window to confirm you would like a temporary PIN sending
  • You will receive a new PIN number via Email
  • Dial into the voicemail system and enter the PIN from the email
  • Reset your PIN

How do I know I have a voicemail?

There are 4 ways to identify if you have voicemail:

You will receive an email into your Exchange email account (where you can listen to the message)
You should notice a red flashing light on the top right hand side of your telephone handset
You should notice an envelope icon on your telephone display
If you pick up your handset you should notice an interrupted dial tone

How do I divert my calls to voicemail?

If you are away from the office for any period of time you can divert your calls straight to voicemail:

  • From your handset dial *2*3900#, you should notice the display on the handset will say 'Follow Me to 3900'.
  • To un-divert your calls, from your handset dial #2#, you will notice the handset display will return to normal.

How do I set an out of office greeting?

  • Log in to the Outlook Web App (mail.staff.sunderland.ac.uk)
  • Select Options, then See All Options from the right hand side of the screen
  • Select Phone from the left hand side of the screen
  • Select the radio button for Greeting that lets callers know I'll be away for an extended period of time
  • Select Call me to play or record the selected greeting
  • You will now receive a call on your telephone handset and you will be prompted to record your greeting

My computer doesn't have speakers. How can I listen to my voice messages?

There are a number of ways to listen to messages if you do not have speakers.

Connect a set of headphones to the pc and you should be able to hear the message via the headphones.
You can select the play on phone option in the message. Enter the 4 digit telephone number you wish to send the message to and click ok. This telephone extension should now ring, pick up the handset and you should hear the voicemail message.
Log in to the voicemail system via your telephone handset, enter your PIN number and the voicemail message will be available.

How do I turn on the touch tone interface?

  • Dial 3900 from your handset and enter your voicemail PIN number
  • Say personal options
  • Dial option 4
  • All menus should now be touch tone activated.

Why does the play on phone option not work in Outlook?

If the play on phone functionality does not work within Outlook, check to see if Microsoft Project is installed on your machine. If Microsoft Project is installed, to access the play on phone functionality please log in to your email account via the Outlook Web App (mail.staff.sunderland.ac.uk) and the functionality will be there. If you do not have Microsoft Project installed and the play on phone functionality does not work, please log a job via the IT Portal, (link on the right hand side of the page).

Why can't I see the play on phone option in the Outlook Web App?

If you cannot see the play on phone functionality in the Outlook Web App, conversation mode is selected. You can switch conversation mode off and you will be able to see the play on phone option within your email. To switch conversation mode off:

Once logged into the Outlook Web App, select View from the mail options
Use Conversation will be ticked, click on this to un-tick.
The page will refresh and you will be able to see the play on phone option
This option should remain available for subsequent logins

What telephone number do I dial from off campus or from my mobile to access voicemail?

To access voicemail from off campus or from your mobile, dial 0191 5153900, you will be asked to enter your mailbox (extension) number, you will then be asked to enter your PIN before accessing your messages.

I'm at another phone on campus, how can I access my voicemail?

Dial 3900, you will hear an announcement of the name of the mailbox owner, if this is not you, dial * on the telephone keypad and you will be prompted to enter your mailbox (extension) number. You will then be asked to enter your PIN before accessing your messages.

If I delete a voice message while listening to it on my phone, will it be deleted from my inbox?

The system will move the message to your Deleted Items folder, from here if you still require the email, you can manually move the message to another folder. You will then be able to listen to the message via email, but you will no longer be able to listen to the message when you log in to the system via the telephone handset.

Can I delete voice messages on my phone from my Outlook Client or Outlook Web App?

Yes, if you delete a message when logged in to the voicemail system this will delete the message in both your Outlook Client and the Outlook Web App, the message will be move to the Deleted Items folder and will no longer be available via the telephone. The message will remain in the Outlook Deleted Items folder until this is emptied, you can retrieve it from this folder before that time if necessary.

I want to move my voice messages to a different folder. Is that OK?

Yes, you can move the messages to any folder within your mailbox and you will continue to be able to listen to the messages via the computer. However, if you move the message out of your Inbox, you will no longer be able to listen to the message via the telephone handset.

Can I store voicemail messages within Outlook?

The voicemail message is not much larger than the size of a standard email, so you can store your voicemail messages within Outlook and it should not affect your mailbox quota too much. We would recommend you regularly evaluate the need to store messages within Outlook, so that you do not exceed you mailbox quota.
